We primarily service the Newcastle Region, including Lake Macquarie, Port Stephens, Maitland and the Hunter Valley.
We also travel to and from Sydney on a daily basis. For other out-of-region transfers, please book well in advance.
Yes: We can supply drivers only. We do not lease or hire out our vehicles.
Yes: We can provide baby seats, capsules or boosters. Or you can use your own. Please pre-arrange your requirements when booking. All our child seats seats meet the Australian Standard.
We suggest you make your booking as much in advance as possible.
We can also provide you with a car, at short notice by phone, subject to availability.
All Bookings require confirmation. We may request credit card details to hold bookings, no charges will be made against this without notification.
We can not guarantee any booking made online with short time notice.

We accept payment by Visa, MasterCard, AMEX, EFT, Bank Transfer and Cash.
If you wish to pay by Bank Transfer please, contact us and we will provide our bank details.
Payments terms are either COD or 7 Days, unless otherwise agreed in writing. If an extended time to pay has been agreed upon, a minimum deposit of 25% is required to confirm booking.
All payments must be cleared and paid in full a minimum of 14 days prior to the booking / travel date.
Please be aware of a 1.5% surcharge if using Visa or MasterCard, and a 2.5% surcharge for AMEX.
We ask that cancellations be made more than 24 hours prior to the date of travel by phone or email wherever possible.
Refunds of amount paid, less 15%, will be issued when more than 48 hours notice is given.
The cost of the vehicle hire is guaranteed, providing that the payment schedule for the hire is adhered to, and the original structure of the hire is not altered.
If you need to make a change to your booking after we have issued a booking confirmation, we will do our best to help you, however if the change or changes alter the structure of the booking/hire/services, charges will be made accordingly where applicable (late changes to bookings should be requested no less than 24 hours prior to the journey).
We will take into consideration reasons beyond your control if you have to change your travel itinerary with us, and of course we will make every effort to accommodate this.
Passengers are responsible for any damage or soiling they cause to the interior and or exterior of the hired vehicle whilst on hire to them, and will be charged accordingly for any repair or detailing required to restore the vehicle to its condition at the commencement of the hiring, and any economic loss against the company.
Alcohol or food may not be consumed in the vehicle.
Newcastle Executive Hire Cars and its chauffeurs have the right to refuse to carry any passenger who is thought to be under the influence of alcohol or drugs, and whose behaviour poses a threat either to the Chauffeur, the vehicle or any other passenger(s).
Smoking inside the vehicle is not permitted at anytime.
No pets are permitted in vehicles, unless they are special needs or therapy pets.
For general bookings, Newcastle Executive Hire Cars will wait for up to 15 minutes past the booked pick up time, if we are unable to contact you within this time frame, we reserve the right to leave, and therefore booking will be considered completed/cancelled. If you do require us to wait, a fee will be charged accordingly.
In regard to airport pick-ups, Newcastle Executive Hire Cars will monitor all aircraft movements. If passengers are delayed at the Arrivals terminal additional fees may apply for each additional 15 minutes or part thereof.
If we cannot contact you within 1 hour of your flight landing, we reserve the right to leave, and therefore booking will be considered completed/cancelled.
Our drivers will at all times drive at safe and sensible speeds as in accordance with legal speed limits, traffic and current road conditions, and further more, the driver reserves the right to deny access to a venue that they feel may put the passengers and vehicle in an unsafe situation.
It is compulsory by law, that all passengers wear seat belts at all times when the vehicle is in motion.
Please be assured that Newcastle Executive Hire Cars will take every reasonable safeguard to achieve an on time service, however in the unlikely event of our drivers being late due to circumstances beyond their control, no liability will be accepted by Newcastle Executive Hire Cars.
We shall not be liable for any loss or delay caused as a result of the following: strike action, industrial disputes, riots, political unrest, hostilities, war or the threat of war, terrorism, fire, flood, and technical/weather problems with airlines or ferry operators, weather conditions or any other event beyond our control.
We are insured for passenger travel. This insurance is for public liability and NOT travel insurance. Although every effort will be made to ensure the safe keeping of personal property, we do not accept liability for the loss of personal items. Please check that you have sufficient coverage for any personal property that you bring onto our vehicles.
Our vehicles maximum luggage limitations run to 2 normal sized suitcases, plus 2 pieces of hand luggage/soft luggage, OR 1 large size suitcase plus 1 set of Golf clubs and soft luggage. Additional Luggage Transfer will be a further cost to the client, price on application at the time of booking. No suitcases will be transported inside the passenger area of the vehicle due to safety concerns.
We shall try to deliver any items left in the vehicle back to the hirer at their expense, or they may be collected from our office. We cannot be held responsible for any personal items left in the vehicles during or after hire.
Clients/Passengers acting in an anti-social manner, causing unwarranted distraction to the driver, or generally causing concerns regarding safety will be asked to leave the vehicle and seek alternative transport to their destination. No refund will be offered in these circumstances.
Please note any persons purchasing any goods outside of tour entitlements, such as wine, food, art etc, are responsible for the paying of such goods.
If the wedding or school formal exceeds the finish time as agreed at the time of booking, overtime rates will apply and will be charged accordingly.
Please note: Overtime will be at the discretion of the chauffeur ensuring this does not conflict with prior booked commitments.
We do not accept responsibility for injury, sickness or death of account holder, or passengers, except where such death, injury or sickness is caused by an employee of Newcastle Executive Hire Cars.
